E-contracts

Electronic contract with parents: signing via eGov with a QR code

ZERO generates an educational services contract from a template, fills in the student data and payment plan automatically, and the parent signs it with a QR code in eGov Mobile or eGov Business. No printing, no scans, no trips to the school.

  • QR signing via eGov
  • Sigex
  • Automatic late fees

Sound familiar?

What is wrong with paper contracts at a school

While the school is small, Word files and printouts get by. But every new enrollment turns into weeks of manual work for the administrator and the accounting team.

Every contract is prepared by hand

The administrator copies a Word template and types in the parent's and child's names, grade, amount and dates. One typo in the details means redoing and reprinting the contract.

Parents travel to school just to sign

To sign a paper they must come during working hours, and then come again for their own copy. For families enrolling from a distance this is a problem of its own.

No one knows who has signed and who has not

Contract status lives in the administrator's head or in a spreadsheet. The director asks who still has an unsigned paper, and the answer has to be put together by hand.

Scans get lost and sit apart from the student

Signed sheets are kept in folders and scans on someone's computer. Finding a particular student's contract can take longer than the contract is worth.

The payment plan lives apart from the contract

The amount and due dates are in the contract, while the accountant issues invoices from a spreadsheet. Discrepancies surface when a parent starts disputing the amount.

Late fees are calculated by hand, or not at all

Charging a late fee requires careful tracking of due dates for every student. In practice it is often simply forgotten, and the money goes uncollected.

Features

How an electronic contract works in ZERO

A contract is not a stand-alone file but part of the student's record: it is linked to the student card, the payment plan and the payments. That is why the director, the administrator and the accountant do not have to reconcile three different sources: the whole picture of the contract and payments is in one place and updates itself as the parent signs the document and makes payments.

01

A template with auto-filled data

You set up the contract template once. After that ZERO fills in the student and parent data from the card: names, grade, study period. The administrator retypes nothing, and the risk of errors in the details goes down.

  • Contract templates
  • Auto-fill
  • Data from the student card
02

A payment plan inside the contract

A payment plan is attached to the contract: amounts and due dates. The system issues invoices from the same schedule, so the contract terms and the actual charges do not drift apart.

  • Payment schedule
  • Invoices by schedule
  • Tuition payments
03

Signing with a QR code in eGov

The parent receives the contract, opens eGov Mobile or eGov Business, scans the QR code and signs the document from their phone. Sigex is responsible for the authenticity of the signature — it provides the trust factor for electronic signing.

  • eGov Mobile
  • eGov Business
  • QR code
  • Sigex
04

Signing statuses under control

Every contract moves through clear statuses: pending signature, signed by parent, signed by director, signed. The administrator and the director see at once where each contract stands and can remind the parent to sign.

  • Pending signature
  • Signed by parent
  • Signed by director
  • Signed
05

The signed contract sits in the student card

The finished document is stored in the student card next to payments and attendance. The parent also sees their contracts and payments in the portal. No more searching for scans in folders.

  • Parent portal
  • One place for documents

Late fees and payments linked together

Late fees are charged automatically, and payments through Kaspi.kz and banks are matched to students without manual reconciliation. The accountant sees debtors and the amount owed in one report, and parents get push notifications about unpaid invoices.

In practice

A contract's journey: from inquiry to signature

What a single contract looks like for the three people involved: the administrator, the parent, and the director with the accountant.

Administrator

01

Once the family has agreed to enroll, opens the student card and generates the contract from the template. The data is already filled in; what remains is to check the payment plan and send the document to the parent. After that the administrator only watches statuses: whose contract is pending signature and who needs a reminder. Nothing to print or scan.

Parent

02

Receives the contract, opens eGov Mobile or eGov Business, scans the QR code and signs from their phone — at a convenient time and from anywhere. The signed contract and the payment schedule stay available in the portal, and push notifications arrive for invoices.

Director and accountant

03

The director sees which contracts are waiting for their signature and signs without hunting for papers on desks. The accountant does not copy contract terms into spreadsheets: invoices are issued from the payment plan, payments are matched automatically, and the system charges late fees.

  • ₸13.7 bn in payments processed in 2025–2026
  • 200 h saved per month
  • ₸21.5 m earned by clients on late fees

Comparison

Paper contract vs. electronic contract in ZERO

The difference is not that the document sits in the cloud, but that it is tied to the student, the payment plan and the payments.

Stage Paper / Word and scan ZERO
Preparing the contract Copying a template, typing in student and parent data by hand Template with data auto-filled from the student card
Signing Parent comes to school, signs on paper, then it is scanned QR signing in eGov Mobile or eGov Business, authenticity provided by Sigex
Status tracking A spreadsheet or the administrator's memory Statuses: pending signature, signed by parent, signed by director, signed
Storage Folders of paper and scans on employees' computers Signed contract in the student card
Payments and late fees Invoices and late fees calculated separately, by hand Payment plan in the contract, automatic late fees, linked to payments

Implementation

Launching e-contracts takes 7–10 days

We do the setup together with your team: templates, payments and staff training.

  1. 1

    A demo on your contracts

30 minutes online: we look at your current contract and payment procedure, show how it looks in ZERO and estimate the amount of setup.

  2. 2

    Setting up templates and payments

We turn your contract into a template with auto-fill, and set up the payment plan, late fee rules and bank connections.

  3. 3

    Staff training

We show administrators, the director and accounting their workflows: sending a contract, working with statuses, the director's signature.

  4. 4

    First contracts and support
