Tuition payments via Kaspi: invoices, matching and debtors without manual work

ZERO connects to Kaspi.kz, Halyk Bank, Bank RBK and Bank CenterCredit, issues invoices on the payment schedule and matches incoming payments to students on its own. Parents see unpaid invoices in the mobile app, while the accountant and director get an up-to-date debt report instead of reconciling bank statements by hand.

  • Automatic payment matching

Sound familiar?

Why tracking tuition payments takes so much time

While a school, kindergarten or center has a few dozen students, payments can still be kept in a spreadsheet. As the number of families grows, manual payment tracking becomes a constant load on accounting and a source of disputes with parents.

Statements are reconciled by hand

An accountant exports statements from several banks and matches each incoming payment to a student. If a parent did not include the child's surname, the payment has to be traced through phone numbers and chats.

Debtors show up too late

Overdue payments come to light at month-end, when the debt has already piled up. There is no single list of who owes how much and for which period.

Invoices are issued manually

The amount depends on the contract, discounts and the number of classes. When invoices are assembled in a spreadsheet, errors are inevitable, and each error means a call from a parent.

Payment reminders do not go out on time

An administrator messages parents by hand whenever there is time. Some are reminded too early, others only after the due date, and some never at all.

Late fees are not always charged

The late-fee terms are in the contract, but calculating them for each student by hand takes too long. As a result, schools often give up charges they are entitled to.

Club payments live separately

Clubs are paid by their own rules: by attendance, by subscription, with recalculations. If they are tracked in another spreadsheet, the overall picture for a family never comes together.

How it works

Accepting school payments via Kaspi and banks: from invoice to report

The school's entire money workflow in one interface: payment schedule, invoice, payment, matching, reminder, late fee and a report for the director.

01

Invoices are issued on the payment schedule

The payment plan is built into the contract with the parent, and from then on the system generates invoices on the right dates by itself. There is no need to collect amounts in a spreadsheet and send out payment details every month: the invoice appears in the student's card and in the parent's mobile app.

  • Invoices from the contract
  • Student card
  • Mobile app

Integration with Kaspi.kz and Kazakhstan banks

ZERO integrates directly with Kaspi.kz, Halyk Bank, Bank RBK and Bank CenterCredit. A parent pays tuition the usual way, and the payment arrives in the system and is automatically matched to the right student. This is an integration of payment data with your accounting system, not a replacement for the school's agreement with its bank.

  • Halyk Bank
  • Bank RBK
  • Bank CenterCredit
  • Automatic payment matching
03

Push notifications to parents about unpaid invoices

Parents receive push notifications in the mobile app about unpaid invoices every month, with no involvement from the administrator. This removes the most common cause of late payments: the family simply forgot, and nobody was free to remind them by hand.

  • Monthly push notifications
  • Mobile app
  • No manual calls
04

Automatic late fees

The late-fee rule is set in the contract and calculated automatically for every student. The school does not have to keep separate calculations, and the parent sees a clear basis for the charge. According to platform data, ZERO clients have earned ₸21.5 m from late fees.

  • Late-fee calculation
  • Based on the contract
  • Transparent records
05

"Debtors" report and WhatsApp reminders

ZERO builds debtor lists broken down by month: how many people owe, the total amount and how long the payment has been overdue. A WhatsApp reminder can be sent straight from the report. Message templates support variables, such as the child's name and the amount due, and the official WhatsApp Business API allows mass and automated messaging without the risk of being blocked. For a personal conversation, built-in calls through IP telephony are available.

  • Number of debtors
  • Total amount owed
  • Days overdue
  • Templates with variables
  • Mass broadcasts
06

Clubs and activities in the same system

Payment for services, club schedules and attendance are kept alongside the main curriculum. Club invoices become part of the overall picture for a family, and the accountant sees everything in one report without switching between spreadsheets.

  • Payment for services
  • Attendance
  • Schedule
  • One report per family

In practice

Who sees what when payments run through ZERO

The money workflow involves three roles in a school. Here is how each role's work changes when invoices, matching and reminders move into the system.

Accountant

01

Does not export statements or hunt for whose payment it is: incoming payments from Kaspi and banks are already linked to students. Opens the "Debtors" report and sees how many families have not paid, how much and since which month. Only exceptions remain manual, for example a payment the system could not match unambiguously. This is where most of the time is saved: up to 200 hours a month, according to platform data.

Director

02

Can see the share of payments collected, the number of debtors and the total amount owed for the period at any moment. Decisions on discounts, installments and tougher terms are made from current figures, not from a summary that accounting spent several days compiling. Late fees are charged under the contract rules, without verbal agreements.

Administrator

03

Spends no time on manual reminders. If a parent asks what an invoice is for and what has been paid, everything is already in the student's card: contract, payment schedule, invoices and payments. A reminder to a debtor goes out from the report as a WhatsApp template, and if needed the administrator calls through the built-in IP telephony.

  • 70+ educational institutions
  • ₸13.7 bn in payments processed in 2025–2026
  • 200 h saved per month
  • ₸21.5 m earned by clients from late fees

Comparison

School payment automation vs. a spreadsheet: what is the difference

A spreadsheet and a banking app cover receiving money, but not tracking it. ZERO links the invoice, the payment, the student and the contract into one chain.

Task Spreadsheet and bank statements ZERO
Issuing invoices Amounts are entered manually every month Invoices are generated from the payment schedule in the contract
Matching payments The accountant looks up the student from the statement A payment from Kaspi.kz or a bank is linked to the student automatically
Tracking parent debt The list is compiled at month-end "Debtors" report: count, amount and days overdue at any moment
Reminders and late fees Written by hand; late fees not always calculated Push in the app, WhatsApp templates with the amount due, automatic late fees
Clubs and activities A separate spreadsheet for each club Payment for services in the same system as the main curriculum
